Off-Cycle Payment Request

Off Cycle Payment Request Details:

• Any time in an "unapproved" or "unsubmitted" status as of the submission deadline ('Time Approval' deadline per Payroll Schedule) will not be calculated/processed, and therefore not paid, in that pay period. It will be paid in the following pay period.
• In the instance where company error (i.e. system or Manager) resulted in the deadline being missed, an off-cycle payroll request may be made.
  • Please note: off-cycle check requests will not be approved for Employees who failed to submit their time by the deadline.
  • Additionally, off-cycle check requests will not be approved for Managers who have failed to approve time by the deadline in the past. Only one exception will be allowed each year.
• Employees and Managers are encouraged to record and submit/approve their time daily to avoid large amounts of hours being missed due to a missed submissions or approvals.
• Off-cycle checks will be processed on Wednesday morning of the non-processing week for all requests approved (see below) prior to 5PM EST the day before (Tuesday). This will occur during the "off" week for biweekly payroll processing. The funds should be deposited to the bank account on file (normal payroll bank account) on Friday of that week.
  • i.e. For missed pay on 1/15/21 paycheck; all requests must be submitted and approved by COB 1/19/21. Payroll will then process off-cycle checks on 1/20/21, which should be deposited on 1/22/21.
• Please note: All time must be Submitted and Approved prior to requesting an off-cycle payment.
  
  

How to Make an Off Cycle Payment Request

• All exceptions must be requested by the Employee's Lead/Manager and approved by Tawana Button (Senior Manager, Payroll).  

• Please submit request directly to Tawana Button with the required information identified below. Please cc the next level up Manager, your Pstrat partner, and Payroll@ for appropriate tracking.

• Required information: Employee name, amount of hours not paid, dates of pay impacted, reason hours were missed and why off-cycle check is needed.

• Please note all requests must have appropriate justification for the need of an off-cycle payment. Those missing any of the required information listed will be denied.
